Terms and Conditions

These terms and conditions explain what to expect when you order propane or purchase or rent a tank from us, including payment, delivery, and service responsibilities. Please review them before placing an order, and contact our team if you have any questions—we’re happy to help.

Propane Delivery

Customer accounts, billing, and credit terms.

  • Prior to receiving any goods or services, new customers must provide a valid VISA, MASTERCARD, OR AMERICAN EXPRESS credit card when setting up their account. Your initial delivery & set-up services will be charged automatically to this credit card.
  • Most customers opt for “Auto-charge” for subsequent deliveries. This simplifies the payment process. Ready Propane will simply charge the credit card on file and then send a receipt.
  • E-transfers and cheques are also acceptable for Commercial Accounts.
  • Payment terms are Net 15. After an initial reminder, any overdue balances will be charged automatically to the credit card on file.
  • All invoices, receipts, and delivery notices are sent via email, 1-2 business days after receiving service.

On-board (chassis mounted) fuel tanks

  • Due to safety and liability concerns, we DO NOT deliver propane to Motor-homes or Vehicles fitted with on-board fuel tanks.
  • Motor-homes and propane powered vehicles should be taken to your local propane filling station for service.

Typical delivery timelines

During normal operations, most propane delivery requests are fulfilled within 3-5 business days.
During the peak winter season, high demand and poor road conditions can cause delivery times to stretch beyond 5 business days.
Our Parksville Yard and office is open Monday thru Friday. The office is closed on weekends, and statutory holidays.
If phoning outside of regular business hours -or if no one answers- please leave a message. You can also simply email us with your details. Someone will get back to you.

Small cylinder deliveries

Forklift & 100# cylinders are the only small cylinders which qualify for on-site delivery. Small cylinder deliveries require our drivers to be on-site longer, and for relatively low volumes. For this reason, we charge a full retail price for fuel, and a higher service fee.

Forklift cylinders

  • During peak demand periods, 100# cylinder customers may encounter slightly longer wait times.
  • It is advisable to have a second 100# cylinder on-hand when your main 100# cylinder runs out. Or learn how to attach a backup 20# BBQ cylinder.
  • For higher volume users, it is more cost effective (and certainly less disruptive) to rent a 420# cylinder equipped with a factory installed gauge and a remote monitor. Contact us to discuss your options.

100# cylinders

Forklift customers must have at least 4 empty cylinders to qualify for on-site delivery. With one forklift, we suggest having 5-6 cylinders on-site to avoid running out of fuel. Then simply contact us when you have 1-2 full cylinders left unused. If your fuel use is fairly consistent, we can discuss a scheduled service.

Tips to make your delivery easier, and safer for everyone

  • THE MAXIMUM DISTANCE FROM THE DELIVERY TRUCK LOCATION TO THE TANK LOCATION (HOSE LENGTH) IS 125 FEET. THIS IS IN A STRAIGHT LINE.
  • Please ensure that your driveway is accessible by our delivery equipment. Drivers will not take any chances becoming stuck, or sliding off the road.
  • If you have a dog, please ensure your dog is leashed, or kept inside while our crews are on-site. Even the most gentle dog can become spooked and aggressive. Drivers also don’t want to run over your pet.
  • Move any obstructions or screens away from your tank or cylinder. Do not make it difficult for drivers and technicians to access your equipment.
  • All sources of ignition or heat must be at least 10 feet away from your tank or cylinder. Store other combustable items well away, and keep the surrounding brush cut back. See Propane Basics.
  • Never store propane cylinders inside a heated, sealed, or unvented building.
  • Advise your Gas-fitter to affix your propane regulator to your house or building, or on an adjacent post. The regulator is designed to operate in a vertical position above the liquid level of the propane. Not horizontally under the lid of your cylinder. Improper regulator installation can affect appliance performance, and often causes issues with fuel deliveries and tank servicing.
  • Always keep a small back-up cylinder on-hand for run-out emergencies. For example; a full 20# BBQ cylinder can provide 24-48 hours worth of emergency heat. It will last weeks if only used for cooking.

Tank Rental

Initial rental period

  • A minimum initial rental term of 1 year is required for all RV rentals. 3 years for residential rentals. Commerical terms are typically 5 years.
  • Rental fees are paid annually, in advance, and are non-refundable. Unused fuel is non-refundable.
  • After your initial rental period concludes, contracts automatically renew until cancelled with the required written notice.
  • All accounts require a designated civic address, a valid email address, and a proper mailing address.
  • If selling your home or business, don’t worry about returning your tank. Rental tanks are typically assigned to the new owners. Contact our office for direction once your sale is confirmed.

New residential customers

Residential rentals are available for a single family residence, on mobile & manufactured homes, on park model homes, or at a secondary residences or cabins.

Recreational vehicle (RV) customers

RV rentals are only available for:

  • Building sites, prior to transferring the rental to a newly constructed home or business.
  • 4-season “live-in” RV customers, at resorts and locations allowing for full-time occupation.

New commercial customers

We want to help your business succeed! Please contact our office to discuss your specific requirements.

Annual volume requirements for all new rentals

  • All rental customers are expected to consume at least 250+ liters of propane per year (i.e. 1 average fill / year into a 420# cylinder). If this level of consumption is not anticipated, we recommend buying a new tank or cylinder.
  • Due to the high & increasing costs of new storage equipment, customers not meeting the annual volume requirements will incur larger rent increases. In cases of zero consumption YoY, rental agreements may be terminated at the sole discretion of Ready Propane.

Cooktops and stand-by generators

Due to low or sporatic consumption; we do not rent cylinders or tanks which are meant to supply a residential cook-top and / or a Stand-by Generator. Sale only.

200# cylinder rentals

  • As of January 2024, we no longer rent 200# cylinders due to their low storage capacity, and a lack of dependable supply. These are Sale only. Surfside RV in Parksville is the only exeption, due to mandated sizes at this location.
  • 200# cylinders come with a factory installed gauge. Perfect for cooktop users.

  • E-transfers and cheques are also acceptable for follow-up services.
  • Payment terms are Net 15. After an initial reminder, any overdue balances will be charged automatically to the credit card on file.
  • All invoices, receipts, and delivery notices are sent via email, 1-2 business days after receiving service.

Gas-fitting, RV hookups, and gas appliance issues

For everyone’s safety, any regulators or rigid piping attached to your home or business must be installed by a Licensed Gas-fitter.

RV hookups and gas appliance issues also require the services of a Licensed Gas-fitter, or a Certified RV (or Appliance) Technician.

PLEASE NOTE: Ready Propane DOES NOT provide Gas-fitting services. There are many gas-fitting companies available locally to help with installation and servicing of regulators, piping, and appliances. Check on-line. We can also provide a local referral sheet if needed.

Cylinder & tank drop-off & set-up fees

  • For cylinder deliveries, we typically charge a fixed drop-off and set-up fee**.
  • 250, 500, & 1000 USWG horizontal tanks require specialized delivery & lifting equipment. Drop-off and set-up fees are hourly, and determined by site.

**Our fee includes delivering and placing your new cylinder in its final location, connecting the cylinder to an existing regulator (pig-tail) hose, and leak-testing the final connection. Propane fuel is extra. Locations not accessible by truck, hand-truck, or dolly will be charged hourly as horizontal tank drops.

Other material fees

  • 24″ x 24″ concrete pads for cylinders (if not supplied by homeowner)
  • Appropriate concrete pads for horizontal tanks should be installed by the purchaser prior to our arrival.
  • Manifold kit (required if connecting 2 or more cylinders)

Rental agreement termination, cylinder pick-up, & re-stocking fees

Customers with accounts in good standing who request termination & pick-up of their propane cylinder at the end of their rental term are typically not charged additional fees.

However, in cases where:

  • the customer utilizes another Propane Supplier while under contract,
  • the customer is otherwise in breach or default of their rental agreement,
  • cylinder removal is requested immediately, and proper notice is not provided,
  • or, specialized pump-out or lifting equipment is required to evacuate or remove the equipment;

In the above cases, you can be charged additional fees. Please review your agreement for specifics.

Fuel rebates:

Upon pick up, any propane remaining in the cylinder (and any pre-paid rent) will not be refunded. As such, we recommend burning the propane level down to 5-10% (or empty if any slope is involved) before requesting a pick-up.

IMPORTANT: FIELD EVACUATION (OR TRANSFER OF PROPANE) FROM ONE SUPPLIER TANK TO ANOTHER IS EXTREMELY HAZARDOUS, AND SHOULD NOT BE ATTEMPTED. IT IS ALSO STRICTLY FORBIDDEN BY THE TERMS OF OUR RENTAL AGREEMENT.

Most pick-ups will occur within the timeline of regular scheduled deliveries to your area.

Tank Sales

Standard sale policies

  • Sales are restricted to areas on mid-Vancouver Island that we currently service.
  • As a condition of sale, all equipment being sold must be filled after placement by Ready Propane. This ensures the equipment is functioning correctly before handing over possession to the customer (required for safety & warranty purposes).
  • No customer pickups at our yard of any 420# cylinder or larger tank. Delivery only. See above.
  • Larger cylinder & tank sales are for new stock only.
    • Quotes are only good for 30 days as prices fluctuate often.
    • We do not sell rental equipment which is already in service.
  • We no longer rent 200# cylinders due to their low storage capacity, and lack of dependable supply. These are sale only, when in stock.
  • If looking to purchase a brand new 100# cylinder (or smaller), these are available at most big box retailers (Costco, Home Depot, Canadian Tire, Lowes, etc.).
    • Although relatively inexpensive to purchase, note that 100# cylinder customers will incur higher fuel and delivery charges.
    • 100# cylinders also lack a factory installed gauge.

Cylinder Re-qualification

General information

  • Ready Propane requalifies & inspects:
  • Steel and Aluminum 33# & 43# Forklift Cylinders,
  • 100# / 200# / 420# Vertical Steel Cylinders,
  • Horizontal Steel ASME tanks**.

On-site services for 200# and larger cylinders

Ready Propane is specialty licensed by Transport Canada for on-site re-qualifications.

For on-site service your propane cylinder must be in good condition, and fully accessible for visual inspection. It must also be completely empty, and have zero pressure inside before the valves can be safely removed.

SORRY, WE DO NOT RE-QUALIFY 20# & 30# CYLINDERS.

How to know if your cylinder is expired

Cylinder markings 101

It’s a pain, it’s a cost, but it is the law.

Canadian Federal Regulations dictate that portable propane cylinders “expire” 10 years after their original date of manufacture. After this date, they must be “requalified” by a Certified Propane Professional before they can be legally refilled.

  • At a minimum, requalification involves replacing the pressure relief valve, testing the function of the other valves, documenting an external visual inspection, and performing a mandatory leak test.

**Large horizontal (ASME) propane storage tanks need to be inspected by a Qualified Professional at a maximum interval of 5 years. They must also, at a minimum, have a legible data plate, a maximum working pressure of 250 PSI, and have the pressure relief valve replaced after 25 years. Tanks larger than 2500 USWG, and dispensing units, are subject to much more stringent regulations.

How to prepare for your requalification

Burn your tank or cylinder right out of propane. Meaning; your appliances stop working, not just zero showing on the gauge! There can be no liquid left in the tank when the valve(s) are removed.

If you can’t be without propane, simply attach a backup cylinder to your pig-tail (hose) once you run out. Then contact us to arrange for requalification.

If you cannot run the cylinder dry for some reason -or you are unsure how to attach a backup cylinder- watch your gauge until it reads 20% or less. Then contact us to discuss an alternate process.

Please note

  • Cylinders should be completely emptied of propane when being dropped off at our shop facility in Parksville. If unsure, it is best to call to discuss your needs before stopping by.
  • Same-day service is often not possible for walk-in cylinder requalification. Waiting times are completely dependent on the season, and staff availability.
